Who we are

Her Future in AI CIC is the controller of the personal information described in this statement. We are a community interest company registered in England and Wales under company number 17341795.

For privacy questions, requests or complaints, please contact us using our online form and say that your message is about data protection.

Information we collect

When you use our contact form, we collect:

• your name and email address;
• your organisation and phone number, if you choose to provide them;
• how you would like to get involved, and anything else you include in your message; and
• technical information needed to deliver and protect the form and website, which may include your IP address, browser, device and submission time.

Please do not include sensitive personal information in the free-text field unless it is necessary for your enquiry.

How and why we use it

We use your information to:

• read, manage and respond to your enquiry;
• discuss community membership, partnerships, speaking opportunities or other ways to get involved;
• keep appropriate records of our conversations and relationships;
• operate, secure and improve our website and contact process; and
• meet our legal and regulatory obligations.

Our lawful basis is usually our legitimate interests in communicating with people who contact us and developing the CIC's community and partnerships. Where your enquiry is about entering into an agreement with us, we may process your information to take steps at your request before entering into a contract. We process information where necessary to comply with a legal obligation, and we will rely on consent where the law requires it, including for optional email marketing.

Who we share information with

We do not sell your personal information. We only share it where necessary with authorised members of our team, professional advisers, public authorities where the law requires it, and service providers that help us run the website and contact process.

Those service providers include:

• Tally, which provides and stores responses to our contact form;
• Cloudflare, which hosts and delivers this website; and
• Google, whose font service is used to display the site's typefaces.

International transfers

Tally says that form data is stored in Europe. Some other suppliers may process personal information outside the UK. Where this happens, we rely on an adequacy decision or appropriate contractual safeguards required by data protection law. Contact us if you would like more information about the safeguards that apply.

How long we keep it

We keep personal information only for as long as we need it for the purpose for which it was collected. The period will depend on the nature of your enquiry, whether an ongoing community, speaking or partnership relationship develops, and whether we need to keep records to meet legal, accounting or safeguarding obligations. We review information periodically and delete or anonymise it when it is no longer needed.

Your rights

Depending on the circumstances, you may have the right to ask us for a copy of your personal information, correct it, delete it, restrict or object to how we use it, or transfer it to another organisation. Where we rely on consent, you can withdraw that consent at any time. You also have the right to object at any time to the use of your information for direct marketing.
